We have started to get a few questions about transcript statuses and when they will be updated. Hope this will help to clear things up!
Transcripts that come in the mail: These are our top priority and we are normally able to update the status within 24 hours. Keep in mind that there is a one-day lag between when transcripts arrive at our mailing address and when they make it to our physical location. Transcripts have to be at our mailing address (not our physical location) by the application deadline.
Transcripts carried forward from last year: Since we already have all of last year’s transcripts in our office, we are not prioritizing these transcripts, so it might take a while for them to be marked as received. We will work on them throughout the summer but we might not have them all updated until after the application deadline. As long as you have checked the appropriate box on the application and do not need to submit a new transcript, don’t worry that the transcript status still says “Not Received.”
As a reminder, it is your responsibility to submit new transcripts if necessary (if you have started or completed any coursework since the last time you submitted the transcript). When we are transferring transcripts forward we will be marking them as “received” but we are not going to check them for courses in progress or other indications that a new transcript is needed until we start evaluating files. This means that your transcript may be marked as received, but if we discover that you should have submitted an updated transcript, we will change it back to “not received.” If this happens after the application deadline your file will become ineligible. If you’re not sure whether or not we have the most updated transcript, send in another copy just to be safe.
UBC transcripts: we will update these regularly but it will still take a bit longer than our normal turnaround time. Again, as long as you checked the appropriate box on the application, don’t worry about your UBC transcript being received.
University transcripts as proof of BC residency: If you use a university transcript to prove BC residency, we will mark the transcript received and proof of residency received at the same time. We are not verifying BC residence until the file evaluation period, however, so even though your proof of BC residency says received we may still contact you later on if we need you to provide additional proof of residency.
Hi,
Is a secondary school transcript required for the application in general or only as proof of BC residency? For example, if I’ve submitted my university transcript for proof of residency, do I still need to send in my secondary school transcript?
Thanks!
They’re just required if you are using them to prove BC residency. If you’re using university transcripts to prove BC residency you don’t need to submit secondary school transcripts.
What happens if you really are a BC resident but during the file evaluation more proof is needed? Would time be given to receive this information to your office or would the student be placed in out-of-province?
For example, I have lived in BC all of my life but I plan on using my university transcript as proof because it is most convenient. It shows I have been in BC for three consecutive academic years but because the academic year is 8 months (Sept.-Apr.) as opposed to 12, would that work as proof?
Thank you for your time,
Ellie
We would give you time to submit additional proof. Please read this post for help with your second question.
I am using my high school transcript as proof of BC residency. Will this be carried forward from last year’s application as well? I am aware that post-secondary transcripts can be carried forward, but the post does not directly address high school transcripts for proof of residency.
Yes, BC residency documents and/or other documents such as certificates of name change, marriage certificates, etc are all carried forward with your post-secondary transcripts.
